Warning when Another User is Accessing a File (Cloud)

What it is: A safety warning that appears when you attempt to open a client's Annual Financial Statements (AFS) while another user in your practice has them open.

What it's for

Only one user can edit a set of Annual Financial Statements at a time. If a second user tries to open the same file, Draftworx Cloud warns them so they do not accidentally overwrite changes in progress. The warning gives the user a choice: view the file in Read Only mode, or wait until the active user has closed it.

How to do it

What to do when you see the warning

  1. Select the AFS you want to open.
  2. If another user currently has the file open, a warning pop-up will appear with two options:
    • Read Only — opens the file in view mode. You can see the current state of the file but cannot save any changes.
    • Close — dismisses the pop-up without opening the file.
  3. To gain full edit access, ask the active user to save their work and close the AFS. Once they have done so, you can open the file normally.
